Events & Parties Policy

Expression Body Art offers private events, parties, pop-ups, and other group experiences for permanent jewelry and other eligible services.
This policy explains the general terms for booking an Expression Body Art event. Specific pricing, minimums, deposits, travel fees, or other requirements may vary depending on the event and will be communicated before the booking is confirmed.
Event Booking
Event dates and times are subject to availability.
Submitting an event inquiry does not guarantee or reserve the requested date. An event is considered confirmed only after Expression Body Art has approved the booking and any required deposit or booking fee has been received.
We recommend contacting us as early as possible for events requiring a specific date or time.
Event Deposits
Expression Body Art may require a deposit to reserve an event date.
The amount of the deposit, whether it is applied toward event purchases or services, and any additional event-specific terms will be disclosed before the booking is confirmed.
Once an event date has been reserved, the deposit compensates Expression Body Art for reserving that time and preparing for the event.
Cancellations & Rescheduling
We understand that plans sometimes change.
Event cancellations or requests to reschedule should be made as early as possible.
Unless different terms are provided when booking, we request at least 7 days’ notice to cancel or reschedule a private event.
When sufficient notice is provided, an eligible event deposit may be transferred to another available date at our discretion.
Cancellations made less than 7 days before the event may result in forfeiture of the event deposit.
Special-order merchandise purchased specifically for an event remains subject to our special-order terms and is not made refundable by cancellation or rescheduling of the event.
Events Canceled by Expression Body Art
If Expression Body Art must cancel an event because of illness, emergency, severe weather, equipment problems, or another circumstance that prevents us from providing the scheduled service, we will make reasonable efforts to reschedule the event.
If a suitable alternative cannot be arranged, an eligible event-booking deposit paid directly for reserving the event will be refunded.
This does not include non-refundable special-order merchandise that has already been ordered specifically at the client’s request.
Minimum Attendance or Purchase Requirements
Certain private events may require a minimum number of participants, minimum purchase amount, minimum service total, or other booking requirement.
Any applicable minimum will be disclosed before the event is confirmed.
The person booking the event is responsible for understanding any applicable minimum requirements and communicating relevant information to their guests.
If an agreed-upon minimum is not met, the host may be responsible for the difference or another previously disclosed minimum event charge.
Event Pricing
Permanent jewelry and other products purchased during an event are generally priced according to the prices applicable at the time of the event unless a specific event package or promotional price has been agreed upon in advance.
Permanent jewelry priced by length will be charged according to the actual amount of chain used.
Charms, connectors, gemstones, upgrades, and other additions may be charged separately.
Travel & Location Fees
Events held away from our normal service location may be subject to a travel or mobile-service fee.
The amount will depend on factors such as distance, travel time, event duration, and other circumstances.
Any required travel fee will be disclosed before the event is confirmed.
Additional charges may apply to locations outside our normal service area.
Host Responsibilities
The person booking the event (“Host”) is responsible for providing accurate event information, including the date, location, expected attendance, and type of event.
For mobile events, the Host is also responsible for providing a location that is reasonably safe and suitable for the services being performed.
Depending on the service, Expression Body Art may require adequate:
- Working space
- Lighting
- Electrical access
- Tables or seating
- Protection from weather
- Access to the event location
- A reasonably clean and safe working environment
Specific requirements will be discussed before the event when necessary.
Outdoor Events
Outdoor events are subject to weather and environmental conditions.
Expression Body Art may postpone, relocate, discontinue, or reschedule services if weather, extreme temperatures, wind, rain, inadequate lighting, electrical concerns, sanitation conditions, or another environmental factor makes performing the service unsafe or impractical.
Hosts are encouraged to have an appropriate indoor or covered backup location for outdoor events.
Guest Purchases
Unless otherwise included in an event package, guests are responsible for paying for their individual jewelry, charms, upgrades, or other purchases.
The Host is not responsible for individual guest purchases unless the Host has specifically agreed to cover those costs.
Available payment methods may be communicated before or during the event.
Permanent Jewelry at Events
Permanent jewelry provided during an event remains subject to our Permanent Jewelry Care, Safety & Service Policy and Refund & Service Policy.
Each piece is individually fitted and cut for the wearer. Once a permanent jewelry chain has been cut to size, the purchase is final and non-refundable.
Guests receiving permanent jewelry must satisfy any applicable service and safety requirements.
Special-Order Items
If the Host or a guest requests a special-order chain, charm, connector, or other item for an event, a deposit may be required before the item is ordered.
Once Expression Body Art places the special order with our supplier, the applicable special-order deposit is non-refundable.
Special-order products are generally expected to arrive within approximately 3–10 business days, but supplier and shipping delays may occur.
Minors
Services provided to minors at events remain subject to the same age, consent, and safety requirements that apply at our regular service location.
The presence of a parent, guardian, Host, or other adult at an event does not override applicable consent requirements or Expression Body Art policies.
Right to Refuse Service
Expression Body Art reserves the right to decline service to an individual when reasonably necessary because of safety concerns, intoxication or impairment, inappropriate or threatening behavior, inability to satisfy applicable service requirements, or other legitimate professional reasons.
The behavior of individual guests may also affect our ability to continue providing services if a safe working environment cannot be maintained.
Damage to Equipment or Property
The Host and event venue are responsible for providing a reasonably safe environment for Expression Body Art personnel and equipment.
Individuals may be held responsible, as permitted by applicable law, for damage they intentionally or negligently cause to Expression Body Art equipment or property.
Expression Body Art is not responsible for damage resulting from unsafe conditions at an event location that were outside of our reasonable control.
Event Photos & Social Media
Expression Body Art may ask permission to photograph jewelry, completed work, or portions of an event for our portfolio, website, or social media.
We will respect requests not to use identifiable photographs of an individual for promotional purposes.
Additional consent may be requested when appropriate.
